Symptoms

Multiple errors found in the RS, RT and RV records in the (F078691OR) Oregon EFW2 (Electronic Filing W2) after creating the W-2 and electronic file from the W-2 Workbench, P07810.

RS records

Multiple RS records created due to having more than four Box 12 values.  While one of the RS records is mostly $0 entries, Transit Tax Base and Transit Tax (line positions 348 to 358 and 359 to 369 respectively) are populated in both RS records.  This results in a miscalculation for Transit Tax. Those should be $0 entries on the second RS record.

RT records

1) 457B (line positions 190 to 204) the reported amount in file is double the correct amount

2) Cost of ER Health Coverage (line positions 295 to 309) these fields are left empty (all blank spaces) instead of the amount from history.

RV records

1) State Taxable Wages for Statewide Transit tax (line positions 40 to 54) the reported amount is much more than the amount reported in history.

2) State Transit Tax Withheld (line positions 55 to 69) the reported amount is much more than the amount reported in history.

STEPS:

  1. Run Payroll, P07210, through Final Update for an Oregon employee who has multiple deductions assigned for Box 12 of the W-2.
  2. On the Year end workbench, P07810, create a year end ID and Special Handle (Row Exit) the deductions for Box 12 of the W-2.
  3. Run the year end build to create the W-2.
  4. Review the multiple W-2s to verify all the deductions are recorded in Box 12. (4 instances for each Box 12).
  5. Run the Federal EFW2 from the Row exit.
  6. Next run the State EFW2 for Oregon from the Row exit.
  7. Review the state EFW2 file, F078691OR, for Record types RS, RT & RV for specified line positions.
