When you enter funds into a closed period it passes funds checking even if there are no funds available. In a future enterable period the same transaction fails. The closed period funds check ignores the actuals and shows the funds available from the previous years budget Entry so it passes funds check, as actuals of 250 booked in Jan-2008 are not taken into account with this funds check.
January 09 is a future enterable period
February 09 is a closed period.
Budget Year is open till 2010
Encumbrance Year is open.
Encumbrance Funds Check (Amount Type = PYTD, Boundary + Year)
1. Budget booked for multiple years
2008 : Budget booked for 300 €
2009 : Extra budget created for 20. Cumulative budget : 320
2010 : Extra budget created for 200. Cumulative budget : 520
2. Add an Actual Entry of 250 in Jan-08 then an Entry of 50 in 2008
Funds Check correct. Entry of 50 remains unposted to be able to test other amounts. Now still 50 available in 2008.
3. Changed this amount to 70 in Jan-08. Funds check failed because only 50 available; which is also correct.
4. Change this to Jan-09 this will pass because 20 was added into the budget 2009 Posted this entry
5. Create a new journal in Feb-09 for 10
Jan 2008 Funds Available = 250 in the report;
This is the result of 300 budget in 2008 + 20 budget in 2009 – 70 encumbrances in Jan-09.
Journal 250 dr in Jan 2008 so eliminating any funds available
6. Entry of 70 in Jan-09.
Funds available should fail, as all funds were reserved in January for 2009.
7. Funds Check – View Results
Entry passes funds check, as actuals of 250 booked in jan-2008 are not taken into account with this funds check.
Previous Funds Available = 250 in the report; this is the result of 300 budget in 2008 + 20 budget in 2009 – 70 encumbrances in Jan-09.
8. Funds inquiry for Feb 2009
This screen showed the correct amounts, no funds are available anymore.
