Purpose

This document is intended to show the relationships between the various W-2 boxes and the tables in the PeopleSoft system from which data is loaded to the W-2 records for the U.S.

PeopleSoft provides much of the information that defines the W-2 forms. We strongly advise you not to change the information in the Taxes group box of the Tax Form Definitions table unless you have some compelling reason to do so.

Many of the W-2 boxes are 'hard-coded' to pull from the appropriate tables. Customer specific information such as deductions and earnings codes that make up the information contained in Box 12 and some Box 14 items will need to be entered on the 2012 W-2 Tax Form Definitions page if there are changes from 2011 or if this is the first time preparing W-2 information on PeopleSoft.

Earnings and/or Deduction codes will need to be effective dated 01/01/xx of the reporting year or earlier in order to successfully add them to the Taxform Definition Box information.

Refer to the IRS 2012 Instructions for Forms W-2 and W-3 for guidance of what types of earnings/deductions should be populated in Box 12 and 14 where the Data Source in PeopleSoft Payroll column indicates 'Define through Tax Form Definitions table'.
