Retroactive Benefits/Deductions Creating Duplicate Refunds (Doc ID 1625514.1)

Symptoms

Synopsis:

Employee has made elections through Open Enrollment or Hire event. After a
number of payrolls are run, the election for one Plan Type is reprocessed, changing the option from Elected to Waived.  When retroactive deductions are calculated, the employee receives a full refund of their deductions for all tax classes.  Several pay periods later, retroactive job record(s) are entered (date between the beginning of the year and the time original event was reprocessed. The insertion of the Job records creates another trigger for Retro Ben/Ded calculations. When retroactive deductions are calculated, the full refund of the Nontaxable and Taxable deductions are calculated again.

Replication Notes:

If employees have had retroactive changes that resulted in a refund and then have a retroactive Job change entered with an Effective Date prior to the date the refund was given, the Retroactive Benefits/Deduction process awards the refund a second time.

STEPS
---------------------------
1. Reopen an earlier Benefits event (one that occurred several pay periods earlier) by changing the Event Status from Closed to Open and resetting the Process to Re-Enter (Navigation:: Benefits > Manage Automated Enrollment > Events > Update Event Status).
2. Process the event (Navigation: Benefits > Manage Automated Enrollment > Events > Run Automated Event Processing).
3. Change the election for a plan that has costs (Navigation: Benefits > Manage Automated Enrollment > Participant Enrollment > Perform Election Entry).
4. Process the event (Navigation: Benefits > Manage Automated Enrollment > Events > Run Automated Event Processing).
5. Calculate retroactive benefits/deductions (Navigation: Payroll for North America > Retroactive Payroll > Retro Benefits/Deductions > Process and Review Requests > Calculate Retroactive Ben/Deds).
6. Create paysheets (Navigation: Payroll for North America > Payroll Processing USA > Create and Load Paysheets).
7. Load calculated retroactive deductions to paysheets (Navigation: Payroll for North America > Retroactive Payroll > Retro Benefits/Deductions > Process and Review Requests > Load Retro Deds to Paysheets).
8. Calculate payroll (preliminary calculation) (Navigation: Payroll for North America > Payroll Processing USA > Produce Payroll > Calculate Payroll).
9. Calculate payroll (final calculation) (Navigation: Payroll for North America > Payroll Processing USA > Produce Payroll > Calculate Payroll).
10. Confirm payroll (Navigation: Payroll for North America > Payroll Processing USA > Produce Payroll > Confirm Payroll).
11. Run multiple payrolls, through the following steps:
      a. Create paysheets (Navigation: Payroll for North America > Payroll Processing USA > Create and Load Paysheets).
      b. Calculate payroll (preliminary calculation) (Navigation: Payroll for North America > Payroll Processing USA > Produce Payroll > Calculate Payroll).
      c. Calculate payroll (final calculation) (Navigation: Payroll for North America > Payroll Processing USA > Produce Payroll > Calculate Payroll).
      d. Confirm payroll (Navigation: Payroll for North America > Payroll Processing USA > Produce Payroll > Confirm Payroll).
12. Enter a Job record with an Effective Date before the refund was given on the earlier payroll (Navigation: Workforce Administration > Job Information > Job Data).
13. Process the Benefits event (Navigation: Benefits > Manage Automated Enrollment > Events > Run Automated Event Processing).
14. Check the Finalize/Apply Defaults box on the event (Navigation: Benefits > Manage Automated Enrollment > Events > Update Event Status).
15. Process the event (Navigation: Benefits > Manage Automated Enrollment > Events > Run Automated Event Processing).
16. Calculate retroactive benefits/deductions (Navigation: Payroll for North America > Retroactive Payroll > Retro Benefits/Deductions > Process and Review Requests > Calculate Retroactive Ben/Deds).
17. Review retroactive calculation results for the employee (Navigation: Payroll for North America > Retroactive Payroll > Retro Benefits/Deductions > Process and Review Requests > Update Retro Ded Calc Results).
      > Duplicate refund can be seen.
