Invalid Accounting Tag Saved During Budget Journal Entry, Even After Getting Error Message ” Accounting Tag Contains Chartfields Not Defined For The Ledger Group, Values Not Populated (18021,2904)” on Budget Journal Entry Page (Doc ID 3011224.1)

Symptoms

During online entry of a budget journal line and using Accounting Tag to populate the chartfields on the line, after enter a valid Accounting Tag which populates the chartfields and click Save, can go back and change to an existing but invalid Accounting tag which then triggers the error message “Accounting tag contains chartfields not defined for the ledger group, values not populated. (18021,2904)”. Issue is that user can click OK to close the error message and the budget journal does save with an existing but invalid Accounting Tag. This is a bug as we do not want to allow accounting tags that have chartfields that do not exist in the budget definition to be saved in the budget journal.

Steps:

0.Enable Accounting Tags for GL under “Tag registration by Product” (Set Up Financials/Supply Chain->Common Definitions->Design Chart fields->Accounting Tags->Tag Registration by Product)

1.Ledgers For A Unit, Commitment Control Options, see budget ledger group CC_PC_CHD linked to gl bu US005

2.See budget definition CC_PC_CHD has three chartfields (pc bu, project, activity)

3.Create an accounting tag with TWO chartfields (pc bu, project) for testing. (Set Up Financials/Supply Chain->Common Definitions->Design Chart fields->Accounting Tags->Accounting tags)

4.Create an accounting tag with THREE chartfields (pc bu, project, activity) for testing the problem.

5.Create an accounting tag with FOUR chartfields (pc bu, project, activity, analysis type) for testing the problem.

6.See that the budget definition CC_PC_CHD Keys and Translations contains the THREE chartfields (pc bu, project, activity), and does not include the 4th chartfield ANALYSIS_TYPE. (Commitment Control->Define Control Budgets->Budget Definitions, open “SHARE” “CC_PC_CHD”)

7.Attempt to create a budget journal using the ACCOUNTING TAG with TWO chartfields (pc bu, project). (Commitment Control->Budget Journals->Enter Budget Journal)

Enter: Business Unit US005

Enter: Ledger Group CC_PC_CHD

b) Budget Lines tab

SELECT Accounting Tag populated with TWO chartfields

Click Refresh and see that TWO chartfields are populated, then can save the budget journal

8.Attempt to create a budget journal using the ACCOUNTING TAG with THREE chartfields (pc bu, project, activity)

Commitment Control->Budget Journals->Enter Budget Journal

Enter: Business Unit US005

Enter: Ledger Group CC_PC_CHD

b) Budget Lines tab

SELECT Accounting Tag populated with THREE chartfields

Click Refresh and see that THREE chartfields are populated, then can save the budget journal

9.Attempt to create a budget journal using the ACCOUNTING TAG with FOUR chartfields (pc bu, project, activity, analysis type)

Commitment Control->Budget Journals->Enter Budget Journal

a) BUDGET HEADER tab

Enter: Business Unit US005

Enter: Ledger Group CC_PC_CHD

b) BUDGET LINES tab

SELECT Accounting Tag populated with FOUR chartfields

Click Refresh and see warning message, “Accounting tag contains chartfields not defined for the ledger group, values not populated. (18021, 2904)” along with “no” chartfields being populated

10.Open existing budget journal with ACCOUNTING TAG with TWO chartfields (pc bu, project)  (Commitment Control->Budget Journals->Enter Budget Journal)

a) BUDGET HEADER – for Business Unit US005, Ledger Group CC_PC_CHD

b) View Budget Lines tab

--Select Accounting Tag with THREE chartfields, click refresh

See that THREE chartfields are now populated

--Select Accounting Tag with FOUR chartfields, click refresh

Get Error message “Accounting tag contains chartfields not defined for the ledger group, values not populated. (18021,2904)”

--Select another Accounting Tag with erroneous CF’s, e.g. “DEMO_PHONE_SL” which contains chartfields (Account, Dept) not in budget definition, click refresh

Get Error message “Accounting tag contains chartfields not defined for the ledger group, values not populated. (18021,2904)”

However, can click Ok which closes the error message and can still click Save to save the budget journal with erroneous accounting tag “DEMO_PHONE_SL” and same chartfields.
