Financial Aid Term Build is Not Updating Academic Level(s) as Expected After Updates to Level/Load Rules Setup (Doc ID 3030023.1)

Symptoms

After running Financial Aid Term (FA Term) build in batch or on-line, some students are not having one or more of the academic levels updated as expected, based on recent changes to the level load/rules setup. For example, in one reported case, there was a concern with the projected academic level (ACAD_LEVEL_PROJ) for a group of students built on term data for both summer and fall terms and where the units enrolled in summer were expected to push them over the threshold for a level increase in the fall term. However, after recently updating the level load rules setup, to slightly lower the number of units required to progress to the next level, FA Term was either not rebuilding the student at all, or in cases where a new effective dated row was built, the level values were remaining the same as before.

Per the on-line help documentation, a projected level is expected to reflect the student's status as of the end of the term, including current enrollment. In this respect, the projected academic level used by financial aid is calculated differently compared to Student Records term activation and enrollment, where the ACAD_LEVEL_PROJ is documented to reflect the status as of the *beginning* of the term (assuming all in progress units from older terms will be passed). Therefore, while it's understood that some fields built with source 'Term' will simply inherit what is built on the records side (on STDNT_CAR_TERM), the academic levels and particularly ACAD_LEVEL_PROJ may be different, in that FA Term needs to always calculate based on the level load rules setup. In general, it's expected that any level load rules changes should be detected by FA Term build the next time it runs, resulting the automatic rebuilding of any records as needed.

The issue can be reproduced at will with the following steps:

  1. Navigate to Financial Aid > Financial Aid Term > Create FA Term Driver Recs > Create FA Term Driver Records and run the process.
  2. Navigate to Financial Aid > Financial Aid Term > Build FA Terms in Batch > Build FA Terms.
  3. Navigate to Financial Aid > Financial Aid Term > Maintain Student FA Term > FA Term to review the results for any individual student, or query STDNT_FA_TERM.
