Symptoms

Requesting functionality in Address Book Supplemental Data, used by Accounts Payable, to be able to track documents such as Vendor agreements, Workman's Compensation Certifications, CCB# licenses, Lease agreements with expiration dates in order to request renewals. When the standard AP module has address book supplemental data for this type of information, they would like to have a process similar to the Log Revisions functionality in Purchasing and Subcontract Management to be implemented in Address Book Supplemental Data.

The request is to have the standard Accounts Payable module go to Supplemental Data by the Address book record, and verify the expiration dates and renewals for the Supplier/Vendor. If the date in the Supplemental Data is prior to the G/L date on the Accounts Payable transaction, then display a "Soft" or "Hard" warning (based on a processing option). This will allow the AP department to decide whether to proceed with an AP payment or stop the payment process completely.

This enhancement will allow the management team to put emphasis on stringent documentation and notify the users when agreements or workman's comp certificates have expired in order to reduce the company's liability.
