E1: 07S: Alabama SUI Magnetic Media (01)(R89078301) is Creating Totals by Company Instead of By FEIN Number (Doc ID 3002613.1)

Symptoms

When attempting to upload the Alabama Mag Media File for Q3 2023, to the Alabama SUI website, the file was rejected and following error is returned.

"Your file contains multiple companies"

After examining he file it was noticed that Alabama SUI Magnetic Media (01)(R89078301), created the Alabama Mag Media File with five Alabama employee numbers with two different company numbers which resulted in the file having two RT (total) lines; one total line for each company. It was also noticed that all Alabama employees being reported were assigned to ONE Federal Tax Identification Number (TAXT).

Steps to Duplicate:

All data presented below is Oracle Demo Data. No customer or Personal Data is displayed.
  1. The Federal Tax Identification Number (TAXX/FEIN) is 840782700 for both Company 00001 and Company 00050 in the Payroll Corporate Tax Identification File (F069086).
  2. In Corporate Tax ID Revisions (P059081A) Company 00001 has been setup as the Parent Company for Company 00050.
  3. Create two new Employees who reside and Work in Alabama.
    1. First employee (522528) works in Tax Area 01 (Alabama) and is assigned to Company 00001.
    2. Second employee (522529) works in Tax Area 01 (Alabama) and is assigned to Company 00050.
  4. Set Alabama Unemployment Insurance Rates (P079221) for Tax Authority 01 (Alabama) for Company 00001 and Company 00050 for 2023.
  5. Submit two bi-weekly Pre-Payroll (P07210) jobs with data selection on both employees. 
  6. Verify in Payment Review for each Payroll run that both Employees were processed in two different companies.
    1. Proceed to process the payroll through Final Update.
  7. Tax History (F06136) records show both employees under the same Tax Identification Number (840782700) even though they are under two different companies (00001 and 00050).
  8. Set processing options for Quarterly Weeks Worked Report (R07810) for Q4 2023.
  9. Run Quarterly Weeks Worked Report (R07810) with Data selection as follows:
    1. Employee Address 522528 and 522529
    2. No company number was specified in Data Selection
    3. Report PDF is 2 Pages with Page Breaks for each Company Number.
    4. Each Employee Worked 4 Weeks.
  10. Tax History (F06136) shows two Z records were created for the two companies but the Tax Identification Numbers were left Blank. These Z records should have the Tax Identification Number (840782700) populated.
  11. Set Processing Options and Data Selection for Prepare Data for SUI Report (R078300)
    1. Year Required 23
    2. Quarter 4
    3. Data Selection Address 522528 and 522529.
  12. Run Prepare Data for SUI Report (R078300).
  13. Check the SUI Magnetic Media Workfile:
    1. Two Employees have different Companies (00001 and 00050) but both have the same Federal Tax Identification Number (TAXX/FEIN) of 840782700
  14. Run the Alabama SUI Verification Report (R078301A) with Data Selection as follows:
    1. Tax Area = 01 (Alabama)
    2. Address Numbers 522528 and 5225299
  15. The Report PDF is 2 pages with both companies assigned to Federal Tax Identification Number (TAXX/FEIN) of 840782700 but with Page Breaks by Company
  16. Now run Alabama SUI Magnetic Media (01)(R89078301) report to create the file to upload to the State of Alabama SUI Website.
    1. Enter Data Selection on the two employee numbers.
  17. Using Notepad with Word Wrap on, open the Text File created by Alabama SUI Magnetic Media (01)(R89078301).
    1. There were two records created under Federal Tax Identification Number (TAXX/FEIN) of 840782700.
    2. One was for the Company 00001 Employee (Alice Gordon) and one was for the Company 00050 Employee (Nick Campbell).
    3. Each record had a RT (total) Line under it.

SUI Mag File Was Rejected by Alabama Because of Two RT (Total) Lines
