EEX 9.2: Payables Payment Advice Displays Employee ID Value for Credit Card Supplier Related Transactions (Doc ID 2794325.1)

Last updated on JUNE 01, 2023

Applies to:

PeopleSoft Enterprise FIN Expenses - Version 9.2 to 9.2 [Release 9]
Information in this document applies to any platform.

Symptoms

When paying Expense Report Credit Card transactions via System Check through Accounts Payable Pay Cycle, the generated Payment Advice section on top of the Check is displaying the header level the Employee Number value of the first listed Expense Report ID.

REPLICATION STEPS:

1.- Define a new Credit Card Supplier
2.- Enter Corporate Card Information to the Expenses Profile of a particular Employee
3.- The Employee uses the Corporate Credit Card to pay for an expense incurring on behalf of the Company
4.- Credit card Supplier issues an electronic flat file to the Company, with a list of all Corporate Card transactions performed by the Employees
5.- Credit Card Upload is performed against the electronic flat file received, and all Corporate Card transactions get impacted into the My Wallet feature
6.- The Employee defaults the My Wallet transaction into a new Expense Report, and submits it for approval
7.- All needed levels of approval are successfully completed, and the Expense Report is in Approved For Payment status
8.- Launch the Expense Processing program (EX_TRAN_PRCS) with the options of Stage Payments, and Post Liabilities
9.- Confirm that the Expense Report has been successfully staged as a Supplier Payment
10.- Define a new Pay Cycle ID, whose Selection Criteria will target the recently staged Expense Report
11.- Launch Payment Selection, and confirm the Expense Report with Credit Card Supplier is picked up
    12.- Launch Payment Creation
13.- Launch the printing of the Check
14.- Confirm that the Pay Cycle is in Complete Status
15.- Review the printed System Check, and confirm that at the Payment Advice section, the page is displaying 'Employee Number XXXXX' value at the top, instead of Credit Card Supplier ID value

To gather more information concerning this scenario and its related problem, refer to the available Replication Steps PDF Document here linked containing the complete configuration and the replication steps necessary to reproduce the issue.

An Employee Number value could be made up of the User's First and Last Name, and usually is classified as a Personal Identifiable Information (PII), and as such, quite sensitive data. While at first it could be considered harmless, this can be exposing Employee sensitive information to members outside of the company. At the same time, the System Check is printed to a Credit Card Supplier, so seeing the value of an internal Employee, may be confusing to the Users of the Credit Card Company receiving, and processing the check.

The Accounts Payable Pay Cycle feature generates a Payment ID that is supposed to be sent to the Credit Card Supplier. As such, the Payment Advice section should always display Credit Card Supplier ID value on all Payment Advance pages, as long as the Payment in question is targeting the Expenses Credit Card transactions for that one Supplier.

NOTE: In the images/screenshots/examples mentioned and/or the attached document, user details / company name / address / email / telephone number represent a fictitious sample (based upon made up data used in the Oracle Demo Vision instance).  Any similarity to actual persons, living or dead, is purely coincidental and not intended in any manner.
