EEX 9.2: Fluid Approvals Not Displaying Cash Advance Section in Expense Report Summary Page Even if Privilege Template Is Defined As Modify (Doc ID 2794748.1)

Last updated on MAY 01, 2023

Applies to:

PeopleSoft Enterprise FIN Expenses - Version 9.2 to 9.2 [Release 9]
Information in this document applies to any platform.

Symptoms

Even though at the Privilege Template level it has been defined that for an Expense Report transaction, the 'Cash Advance Applied' setting is set as MODIFY, an Approver User is unable to add outstanding Cash Advance transactions during Fluid Approvals if a routed Expense Report was not applied to a Cash Advance prior it being submitted for approval.

This functionality is working as per expected in Online Classic Approvals, depending on the configuration at the Privilege Template level.

REPLICATION STEPS:

1.- At the Transaction Definition level, for Expense Reports, activate an approval level, such as HR Supervisor or Pre Pay Auditor
2.- Create a Privilege Template for Expense Reports, and at the 'Cash Advance Applied' drop down list, select the value of MODIFY
3.- Link the recently created Privilege Template to the Expense Report row for the Approver Profile activated at the Transaction Definition level
4.- Log into the FSCM Online Application as an Expenses Employee, create a couple of Cash Advances for 100 USD amount each, and submit them for approval
5.- Log into the FSCM Online Application as an Expenses Approver, and approve the Cash Advance transactions submitted
6.- Log into the FSCM Online Application as an Expenses User, and complete all tasks to: Stage for Payment, Post Liabilities, Pay Cycle run to completion, and Payment Post processes
7.- Log into the FSCM Online Application as an Expenses Employee, create a new Expense Report for 150 USD, and submit it for approval (Do NOT apply any Cash Advance, even though they show as outstanding before submission)
8.- Log into the FSCM Online Application as an Expenses Approver, and open the routed Expense Report transaction via Fluid Approvals
9.- Go to the Expense Summary page, and confirm that at the Additional Information section, the Cash Advance button/section is not displayed

To gather more information concerning this scenario and its related problem, refer to the available Replication Steps PDF Document here linked containing the complete configuration and the replication steps necessary to reproduce the issue.

Approver Users have no way to see if the Employee owner of the submitted Expense Report has any outstanding Cash Advances, and even though via Privilege Template, they should have access to the Cash Advance feature in Fluid Approvals, this doe snot seem to be the case. Approvals get delayed if the Expense Report is sent back for revision to ensure the Employee applies a Cash Advance, or approved and paid straight away, keeping an accumulated balance in favor of the Employee who forgets to apply outstanding Cash Advances. Approver Users end up resorting to Online Classic Approvals to manually apply the missing Cash Advance, which defies the purpose to roll out Fluid Approvals.

Online Classic Approvals and Fluid Approvals should behave the same as long as the Privilege Template configuration allows Approver Users to apply Cash Advances.
