When External Award Load Appends Multiple Disbursement Transactions for the Same Student and Item Type, the Second/Subsequent Transactions are Missing On Award Activity (Doc ID 2923693.1)

Symptoms

When running External Award (EA) Load to append a disbursement amount(s) multiple times for the same student and item type, only the first such transaction is logged on award activity. As such, award activity is missing the full audit history on what happened with the item type, and the disbursed amounts showing on award activity don't match the actual disbursement amount(s) recorded.

It's expected that award activity should always accurately and completely capture the history of the activity with any item type.

The issue occurs the same whether the EA load is run on-line or in batch. The issue has been verified to occur if the multiple disbursements all happen since the offer/accept amounts were last updated on the time type; other scenarios have not specifically been tested.

The issue can be reproduced at will with the following steps:

  1. Navigate to Financial Aid > Awards > Award Processing > Assign Awards to a Student > Student Aid Package and award a student a Federal Work Study item type. 
  2. Navigate to Financial Aid > Awards > External Awards > Add External Awards to Student > Add External Awards and manually enter a transaction to append an amount to one of the disbursements. Do not append the full amount, so that a second transaction can be processed later in the sequence.
  3. Navigate to Financial Aid > Awards > External Awards > Manage Student External Awards > External Awards and click the 'Load' button to process the transaction. After the process completes successfully, verify on the Award Summary tab that the amount was posted in the disbursement detail.
  4. Navigate to Financial Aid > Awards > View Award Activity > Award Activity to verify the transaction was added.
  5. Repeat steps 2-4 and note that the newest transaction is NOT added to Award Activity.
