Term Fees Using A Surcharge Fee Based On Surcharge Units Reverses to 0 After Student Drops Class(es) or Term Withdraws in the Refund Penalty Period (Doc ID 2992461.1)

Last updated on DECEMBER 11, 2023

Applies to:

PeopleSoft Enterprise CS Student Financials - Version 9.2 and later
Information in this document applies to any platform.

Symptoms

A term fee is setup to charge a surcharge at a certain surcharge unit level, for example 18 units.  The term fee setup does not charge an amount when less than 18 units are enrolled.  For example, there is no charge per unit range or a flat fee for 0.01 to 17.99 units.  When a student has enrolled in units equal to or higher than the surcharge unit level, the term fee is calculated and posted to the student account.

After dropping class(es) to an active unit load less than the surcharge unit level, or term withdrawing in the refund penalty period, the term fee amount is reversed from the student account.  The expectation is the term fee charge will remain on the student account since the student dropped class(es) or term withdrew during the penalty period.

Surcharge units are setup on the Set Up SACR, Product Related, Student Financials, Tuition and Fees, Term Fees component, Term Sub Fees tab, Surcharge Effective Unit field.

The issue can be reproduced at will with the following steps:

  1. Navigate to Student Financials, Tuition and Fees, Tuition Calculation;
  2. Select the student;
  3. Click the Calculate Tuition button;
  4. Navigate to Student Financials, View Customer Accounts;
  5. Note the term fee charge is reversed.
