DATA Rows Used To Backdate Admit Term Not Recognized By Consolidate Academic Statistics Process (Doc ID 3040350.1)

Symptoms

DATA rows used to backdate program/ plan admit terms are not recognized by the NSC Consolidate Academic Statistics process. This leads to inaccurate reporting to NSC and NSLDS.

The issue can be reproduced at will with the following steps:

  1. Activate a student into a program/ plan stack.
  2. Add a DATA row to the program/plan stack and backdate the admit term to a prior term. Be sure that the effectivdate for this row is before the start of the backdated admit term.
  3. Enroll the test student into classes to create an enrollment load for the student.
  4. Enroll the test student into classes for the following term to create a new term of enrollment data for the student.
  5. Define a test statistics period for NSC reporting for the term that the student is enrolled in. Run the Consolidate Academic Statistics processes (Take Term Snapshot, Consolidate Academic Statistics).
  6. Define another test statistics period for NSC reporting for the term that the student is enrolled in. 
  7. Run the Consolidate Academic Statistics processes (Take Term Snapshot, Consolidate Academic Statistics).
  8. Review the Student Consolidated Statistics page for the latest output. The Program Begin Date lists the original Admit Term, not the backdated Admit Term entered with a DATA row.
  9. Go back to the Student Program/ Plan page. Using Correct History, remove the DATA rows and then backdate the admit term manually be overwriting the original data.
  10. Create a new statistics period and re-run the Consolidated Academic Statistics process. The Program Begin Date will now correctly reflect the first term the student is active in their program/ plan stack, but the Enrollment Status Date will still equal the first date of the term despite no enrollment load changes or breaks in enrollment.
